Retreat FAQ

Transportation

  • At this point, your flight information is considered final and we are unable to guarantee company-sponsored airport transportation if you make any changes to your flight(s). If you must change your flight due to an emergency or a flight cancellation, or if the flight information listed above is incorrect, please e-mail your flight confirmation to retreat@sublimesecurity.com.

  • If you want to select a specific seat on your flight, the best way to do so is directly with the airline – go to their website and look up your trip with the confirmation number provided by Ramp. If you select a paid seat (or upgrade), use a personal credit card.

  • You may use your Ramp card to cover a rideshare service, taxi, parking for your personal vehicle at the airport, or public transit. See Expense Guidelines for more details.

  • Someone from our Iceland travel partner team (HL Adventure) will be in the arrivals area at KEF holding a sign with the Sublime logo on it to direct you to your shuttle. You’ll be grouped with other employees who are arriving at the same time.

  • Sublime has arranged transportation to all full-company and optional events. You will never need to coordinate your own transportation while in Reykjavik unless you are paying for your own separate activity.

  • The approximate timing of shuttles from Reykjavik to KEF is around ~3 hrs before your flight time. You’ll receive an email confirming your exact shuttle departure time closer to the event.

  • You can use your Ramp card to pay for meals during your travel days. Check out the Expense Guidelines page for more guidance on allowed expenses.

  • IcelandAir offers free checked baggage for Economy passengers, so most of us should be set with that. However, if you can’t bring a checked bag for free and need to add one, you may use your Ramp card.

LODGING

  • Hotel assignments will be shared via email by Thursday, February 19th. Room assignments will be provided upon check-in at your hotel.

  • Yes! Your hotel room will be available for you to check in early on the morning of February 22, so you can rest after your red-eye flight if needed.

  • We'll arrange all ground transportation from the airport to your hotel based on the flights you book.

  • The purpose of our winter retreat is to bond as colleagues and get to know each other as humans outside of our virtual workplace. We’ve found that folks naturally hang with each other more when the trip is for employees only.

    Our official policy is no guests on this retreat. This means we're coordinating ground transportation, hotel common spaces, meals, and activities specifically for employees only.

    While we won't be policing who's in your room, we'd strongly advise against bringing guests because the logistics really aren't set up for it.

    A few practical notes:

    • All employees need to book flight through Ramp Travel, so we will not be reimbursing anyone for their ticket purchased with a spouse's ticket off the platform

    • We won’t cover separate ground transportation or meals with your partner. (e.g.: If you skip a group meal to eat with your partner, we will not cover your costs.)

    • Each hotel has an increased rate for double occupancy that you’ll be responsible for covering if your bring a guest. Please email Kelly at mice@hl.is for pricing information.

  • Put down your personal card during check-in to cover any personal purchases you make during the trip.

Activities

    1. As of right now, all optional events (Northern Lights, Sky Lagoon, and Perlan Museum) are currently full. Please use this form to join the waitlist.

    2. If you need to drop out of an activity, please use this form.

  • If you've received confirmation for an optional activity (Northern Lights, Perlan, or Sky Lagoon), we're counting on you to be there - your spot was reserved and paid for specifically for you.

    If something unavoidable comes up, please email retreat@sublimesecurity.com immediately so we can offer your spot to someone on the waitlist.

  • You should have received a calendar invite including timing and logistics for all activities you’re confirmed to attend. For more information on each activity, check out the Activities page.

  • Click on each activity on the Activities page to learn more about everything you’ll need to bring/wear for that activity.

  • Check out the Expense Guidelines page for detailed information about allowed expenses on the retreat.
