Before You Go & Travel Day

We're excited to see you in Iceland very soon! See below for guidance to prepare for your travel and arrival in Reykjavik.

Before You Go

  1. Refer to the Packing List one last time before departure. Make sure you have your cold weather gear, Type F adapter for charging your devices, and your passport ready to go.

  2. Screenshot your passport photo page, flight confirmations, retreat schedule, and retreat confirmation email for easy access/ in case of limited service.

  3. Download Slack on your phone. We will be using the retreat channel to share day-to-day updates, timing reminders, and weather notes. You'll also want to check Slack upon arrival to connect with your shuttle group (KEF has free wifi!).

  4. Plan for how you'll get cell service in Iceland if needed. Per our Expense Guidelines, you are allowed to expense up to $60 USD for international mobile roaming fees or an eSim purchase using your Ramp Corporate Card.

  5. Add your Ramp card to your digital wallets, and your rideshare accounts for transport to/from your home airports (We'll handle transportation in Iceland!).

Travel Day

  1. Getting to the airport: You may use your Ramp card to cover a rideshare service, taxi, parking for your personal vehicle at the airport, or public transit.

  2. Meals while traveling: Per our Expense Guidelines, you may spend up to $100 USD per day on your Ramp card for meals while in transit and lunch on Sunday.

  3. Security Guidelines: Per our Security Guidelines, completely power off your Sublime laptop and any phone or tablet logged into Sublime systems before presenting yourself at passport control, customs, or any border checkpoint. Devices may be used:

    • At the departure gate

    • During the flight

    • After clearing border control at your destination

  4. Heads up for passport control: When asked the purpose of your visit, you can say you're traveling for leisure. Our retreat is focused on team connection and experiences — we're not conducting business in Iceland — so leisure/tourism is the accurate category.

  5. Shuttles from KEF to hotels: If you're confirmed for an arrival shuttle, there is no "set time" for your shuttle — someone from the Ops team or our Iceland travel team will be waiting at KEF Arrivals with a "Sublime" sign to guide you to your shuttle. We'll be keeping an eye on any flight delays or other changes, so whether or not you land at your scheduled time, you'll have a ride!

  6. Hotel check-in: If you're arriving on a Sunday early-morning group shuttle, you'll receive your room key right away so you can get settled and sleep — then head back to the front desk later in the day to complete your full check-in.

    • When you check in, put down your personal card for any incidentals you incur during the trip.

  7. Keep an eye on the retreat Slack channel: We'll be updating everyone on the #t-1h2026-retreat-iceland channel throughout the trip, so keep your notifications on and check in often for updates!
